A jolt of adrenaline hits you as you scurry to get to where you need to go. You reach for your phone. A stack of meticulously organized papers flies off your desk like the most disappointing confetti ever seen. A sigh of frustration. A look of anguish. “I don’t have time for this.”

If that is not one of the most relatable occurrences, I do not know what is.

Let us examine that pressure and how it applies in the workplace. What is the cause of this time-keeping anxiety?

The Issue with Numerical Time

As we know, numeric time is a construct, an illusion working to keep us all on the same beat. I believe the issue of our societal stress around time lies in how we think about it.

We “measure” time with productivity, efficiency, and busyness. We have methodical approaches to managing time like prioritization and workflow organization – it has been implanted within us during youth. There is pressure for kids to be potty trained before sending them off to school with timed tests and project deadlines. We learn “time management skills” so we can slap them on college applications and resumes.

While there is nothing wrong with measuring time, – it is imperative to advance as a species – our overreliance on it has been steeped in our culture, particularly in our workplaces.

Time & Workplace Productivity

A study in the Journal of Consumer Research found that many cultures view busyness as a sign of status. The question is: do we need to be overworked and overtired to feel accomplished at work?

When we anxiously race to beat the deadline, we prime ourselves for living in a “reacting” mode. Dr. Jim Taylor in Psychology Today explains that reacting is based on perceiving a threat, while responding flows from “deliberate and thoughtful decision making.” We, as people, need both mechanisms to survive. We need to run if there is a lion chasing us, but do we really need to blow up on an intern who didn’t complete a report on time? When we fall into the pressures of time crunches, we do not give ourselves time to be mindful – of ourselves and others. Constantly reacting to time pressures, we never hone our ability to respond. Think about the times you have reacted versus responded – how has your work or relationship with your team been affected?

Multi-tasking – it’s a skill in almost every job description. According to a study from the Psychonomic Bulletin & Review, only 2.5% of the 200 people studied could multitask effectively without causing detriments to the work. Even without science to back it up, how has a distracted mind impacted your workday? Were you a little on edge? Did all the work get done well? While avoiding multitasking completely is impossible, why does it have to be a standard for every workplace?

What is Time Without Numbers?

Time without numbers is mindfulness.

Albert Einstein, a leader in the numbers game, said, “…the past, present, and the future are real illusions, that they only exist in the present, which is what there is and all there is.” The truth is: we have only ever experienced the present. The past and the future are only thoughts. The present is here.

A present awareness can mean higher quality projects, reports, team synchronicity. A mindfulness study featured in the National Library of Medicine revealed that participants who practiced mindfulness perceived time passing more slowly than the control group. With the perception that time is longer than it is, we can catch silly proofing or computation mistakes and notice when we need a break. Living presently means we are not bound by the limitations of the past or expectations or the future.

Time without numbers is compassion.

Compassion can take on a myriad of shapes and forms. While it may not include full understanding of others’ struggles, it uncovers the openness to uncover what they may need. It allows people to be responsible for getting their work done but gives them help if it’s needed. Compassion allows for flexibility. In a Gartner survey of 10,000 digital workers, 43% of them attributed “work hours flexibility” as their main reason for increased productivity. The flexibility to work how, when, and where can help those with neurodivergence or other needs to do their best.

A New Approach to Time in the Workplace

A balance between numbers and mindful compassion can be struck. Imagine the glorious potential. Team members are mindful of what they need, while compassionate leaders can actively listen and implement solutions to deliver results.

The choice lies in whether we can embrace new perspectives of time in our own lives and workplaces.

Hello? Can you hear me now? We all remember those iconic “Can You Hear Me Now?” Verizon commercials from the 2000s. While it may not be as relevant now with 5G in places you didn’t know existed, it is increasingly important in the remote workplace.

Gallup survey results report that only 28% of remote employees feel connected to their company’s mission, which is a record low since 2011. When employees aren’t connected to each other, it can lead to the job feeling “gig-like”, and potentially lead to less loyalty to the company, as Gallup states.

We’ve found ways to jump these blaring WFH hurdles. We’ve got 9 strategies to stay in contact while miles apart. See if any work for your team!

How DBE Stays Connected

Email Sign-on and Sign-offs: Every team member emails when they are online and offline. In addition to saying hello in the morning, we let each other know about errands or breaks away from the desk. This method helps acknowledge breaks and maintain better work/life balance.

Two Weekly Scheduled Team Meetings: Not only do we run through client/project statuses, but update each other on what’s going on outside of work. The first 15 minutes of these calls are normally spent catching up with each other.

One-on-One Connect Meetings: Team members will often schedule one-on-ones when working together.

In-Person Lunches & Get-Togethers: Sometimes these are with the whole team. Other times, a smaller group will get together.

Share What’s New: When there’s something exciting going on, we’ll share it. We’ve shared vacation pictures and even brought puppies on camera for our status calls!

Tools to Stay in Touch

Kumospace: We use this free, virtual office for our Zoomraderies. Zoomraderies are our weekly non-work meetings used to get to know each other better. We use Kumospace for a specific type of Zoomraderie. A theme is chosen (i.e., “What’s your favorite comfort food?” or “What’s your favorite card game?”). Each team member changes their profile picture and name to their answer. Then, we take turns guessing who’s who via the chat. Kumospace can also be used to virtually work together in a conference room. You can screen share, chat, and even take a game break!

Whiteboard: We use Microsoft Whiteboard for monthly shout-out boards, birthdays, and anniversaries. Each team member contributes on virtual sticky notes, leaving positive notes to other employees.

Skype: There are always a few impromptu meetings and chats throughout the day! It’s a quick way to get in touch with each other.

Zoom: This is another great place for team meetings. We prefer Zoom for screen sharing and recording meetings. Everyone is encouraged to appear on camera.

Getting Connected and Staying Connected

Just like when old friends get together for the first time in forever, they say, “Let’s do this more often” and the thought disappears amidst the business of life,… the way to get better at staying connected takes dedication (and strategic scheduling). Yes, sometimes things pop-up, things get rescheduled, but don’t let that deter you. Keep getting back up and trying it again. It took us a while before we found our stride, but now we’re grateful for the connection we have with our team.

P.S. To answer the intro question, yes, we can hear each other now.

What I’d like to do this time around is to suggest that even if you aren’t currently, or have ever, experienced this phenomenon, please read these 3 pieces from different perspectives on the topic and think if there is anyone in your circle: on your team at work, among your friends and family, etc. who may be having bouts of confidence issues that they are internalizing and perceiving as unique. You may find opportunities to help them see around this common syndrome that affects people of all ages:

From The New Yorker: deep, long piece that presents imposter syndrome in a different light that is all about 3 perspectives of self.

From one of my marketing agency’s team members who presented their views without a byline for our company blog (three cheers for bringing up the topic and working through it with us).

And this from one of my favorite communications coaches, Michael Piperno. It’s not specifically about imposter syndrome, but rather a call for honesty around a core truth: sometimes there’s no lesson in a failure—it just sucks. When we can be “real” about that and not seek to soothe ourselves by uncovering a lesson in the crap, we do ourselves and others a favor by dealing in the reality of the situation and not the “social media wonderful” view of it. Nobody is perfect, and sometimes there is no silver lining. That’s okay too. You can’t feel like an imposter if you’re facing the highs and the lows of reality with equal balance.

EVERYONE appreciates being appreciated. That shouldn’t surprise any of us. But did you know that 74% of the executive women surveyed by Chief about leaving the workforce in 2022 said that feeling more valued would be a reason to make them consider staying. 74%!!! Other big issues: pay transparency and promotions. Insightful research and analysis, read more here.

I had lunch with a business associate recently, and she arrived a little rattled by an incredibly rude person she had unfortunately, inadvertently ruffled. I felt for her, because it’s so seldom that we directly interact with a truly rude stranger. And then I saw this BuzzFeed piece with readers sharing similar experiences with people who are quite cluelessly going about their lives. Just had to share so we can collectively shake our heads and send some good energy their way in the hope they redeem themselves.

Logitech has developed booths that provide more immersive video calls to better simulate being in a room with others. I think it’s cool, but somehow not cool enough. If we need the booths, it harkens to phone booths for me. Anyone else with me on this throwback innovation?

This quick, thinky piece by Ryan Wong for Fast Company talks about the issues from 2022 that are continuing into 2023, with a focus on, you guessed it, where, how, and why we work. Here’s a snippet: “But time on the clock is a poor indicator of performance, especially for creative roles. In fact, Stanford researchers have shown that while quantifying simple tasks, like some steps of manufacturing, can improve productivity, attempts to quantify complex work actually drives productivity down.”

Luciana Paulise, writing for Forbes, talks about the leaderships skills necessary for growing teams regardless of the physical environment they work in. Good thoughts, including this, “5) Support team in understanding and defining their own metrics. Understand and share results, monitor, and verify them as a team. As a result, employees will know better and detect faster what requires attention in their processes.” [Me: Output can no longer be judged by time. We’ve got to build systems around measuring what counts and time to complete a task is no longer a reasonable metric.]

That’s it for this week’s issue. I hope, as always, that I’m sharing info and insights that make your job as a leader easier and perhaps more fulfilling, too. We’re in this together. Keep your energy at a good frequency and look for opportunities to help someone else. Don’t forget to ask for help when you need it.

We’ve got a lot of expert marketers out there, and there are a handful of rockstar Office Managers (*cough cough* Stacy Sarno) in the world. They both have very different roles, or so it seems.…

Our truly outstanding Office Manager, Stacy Sarno, and I realized a very interesting crossover between our roles.

But before we dive in… here’s the backstory behind this conversation. If you haven’t been Keeping Up with the DBE Team, Stacy plans all our memorable, team-building events. These events include everything from jeopardy to paddle boating to a tower-building extravaganza. Her naturally generous spirit makes her the perfect match for planning delightfully thoughtful events. Through experience, she’s found the right balance of activities for our team that add a layer of excitement to our workweek.

If you’re a marketer, this probably strikes a chord of familiarity. How different is planning a team event from launching a marketing campaign? We both modify our plans based on results, evolving on previous observations.

1. Brainstorm

Brainstorming, of course, is a first step. Taking notes seems to be Stacy’s key to this part of the process. When someone mentions a fun idea, she jots it down. Our CEO, Niki Fielding, mentioned doing something with Plah-Doh in the winter. Six months later, there’s a set of Play-Doh sitting on every team member’s doorsteps.

Taking notes also comes more discreetly such as noticing a shared trait. Our team is playfully competitive, so “Candy Name Jeopardy” was a homerun for the team.

“Variety is very important. It’s fun to do the same thing, but it’s important to switch things up to keep people interested and excited.” … as Stacy has seen from her team-building planning. Once you have a few events under your belt, you can gauge how the team liked them.

Also, plan for any hurdles in advance. Will travel be an issue? How does hosting a game over Zoom affect the rules? It’s good to think about logistics beforehand.

Marketer’s perspective: This is the research phase. Who is the audience? What are they interested in? Does your platform support the types of audience you want to target? You need to know your audience in order to tailor campaigns around them. Team events should be molded to your team just like a campaign is formed to suit your audience.

2. Narrow Down the Ideas

Run ideas by your team, pick 2-3 ideas for events to discuss with anyone who needs to approve what you’re planning. Once you have authorization, send a poll asking team members to rate the potential activities if more choices need to be made. Then, pick the activities that meet the best blend of criteria.

Marketer’s perspective: This is similar to the recommendations you give a client. It’s obvious you can’t do everything, so you have to pinpoint what is best for your audience. Ideas in a campaign are malleable, and most of the time, there are options to consider and choices to be made. Surveys and A/B tests are techniques marketers use to gather info and data to make smart choices.

3. Plan

The idea has been chosen and the time has come to plan. Stacy’s got a slew of tips on getting the most out of the planning phase:

“Put together an itinerary with all of the info the team/participants will need. The more info the better.”

When planning our team outing to Asbury Park, Stacy scheduled the day to suit the team as a whole.

You have to think about where everyone is coming from (physically) and while taking everything from the time of year to weather (if you’re meeting in-person) into account..

“Send reminders to the participants/team.”

Don’t want anyone to forget about the event!

“Always confirm reservations with vendors. You never want to show up and find out they lost your reservation.”

If you’re thinking about gifts for team members, try to keep up with a theme! “Since we were going to the Jersey shore, why not give a beach bag and towels for the team to use for future trips to the beach?”

“Ask for suggestions. I was not very familiar with Asbury Park so I asked local vendors for recommendations.”

Marketer’s perspective: Perspective is required when thinking about campaign launches. There have been so many campaigns that have gone terribly wrong because the marketers weren’t aware or sensitive of people’s worldly, physical, cultural, etc. perspective. Remember when Coke changed its recipe? How about Harley-Davidson perfume? 🤦‍♀️ (If you’re interested in more brand duds, check out this book from Matt Haig.) So, let’s conclude research is key to making the best campaigns and team building events a success!

4. Execute

Relax and enjoy. You’ve done good. ⛱☺

⭐ Bonus Ideas for Your Remote Team ⭐

If you don’t know, DBE is a 100% remote company. Luckily, most of our team lives within the tri-state area. Stacy has put together a variety of in-person and remote team activities. Here’s a uniquely fun list of our favorite activities over time:

Remote

“Zoomraderie” – (Term coined by Niki:) Almost every week for over a year, our team uses a platform (Teamflow or Orbital) that allows us to appear in a virtual space as different avatars. There is a theme for the week like, “Favorite Food” or “Favorite Cartoon Character”. Everyone shows up as their favorite at a specified time. Then, we take turns guessing who is who. There always are a couple of good surprises as you get to know your team members. If you want to see some of our core team’s favorites, check out our snazzy “Meet DBE!” page.

Play-Doh – Each team member received their own set of Play-Doh to build whatever creation they wanted over a video call. We rewarded each other with superlatives like “Most Cheerful Creation” and “Best Depiction of Underwater Life”.

Jenga-Like Blocks Extravaganza – Each team member got a set of Jenga-like blocks. The team played over a video call to see whose tower was the last standing.

Cookie Decorating – Each team member received a cookie decorating set to decorate over a video call. We rewarded each other with superlatives like “Best DBE Spirit” and “Best Use of Kitchen Ingredients”.

Family Feud, Jeopardy, & Trivia Games – The internet contains loads of themed games. Set a moderator, then divide the group into teams for a little competitive fun! These are great with seasons/holidays.

In-Person (if you’re close enough)

Company Day Out – Stacy planned a fun-filled day in Asbury Park, NJ with pedal cycles, pedal boats, restaurant hopping, and arcades! Pick a fun, central location and plan a day with local tourist activities.

Traditional Company Lunch – Sometimes it doesn’t have to be a huge hullabaloo to be fun. It could be a simple lunch to catch up with your team.

The Wrap Up

Overall, we find that the office manager in charge of team building and the marketer running campaigns share a similar devotion: people. People are the reason for the time and effort. Whether it’s making their lives easier or better with a product or making work more lighthearted and fun!

Not one size fits all, but our team building activities happen to fit and strengthen us as a team. We believe business (or the world in general) is a little brighter when people are placed at the forefront. 🌞

I hope you’re meeting the goals you set for yourself and your team for this year. Is anything going particularly well that you thought would be more challenging? What do you credit with that upswing? I’d love to hear what’s working and if you’re finding ways to apply those strategies elsewhere in your organization.

Here are the articles that caught my attention as a business leader this week that I wanted to share with the other business leaders in my network:

Still sitting too much? I’ve been popping out of my seat every 20-30 minutes to keep moving around as a step to getting healthier. I found this article about back pain that might be helpful to you or someone you know from the folks at Lose It! Here’s another one from Dr. Cindy Lin, MD for CNBC.

Jeanne Meister writes about trends shaping the future of work, and she’s got a great piece in Forbes: The Future of Work is Employee Well Being.”

Sure, your work from home offices are pet-friendly, but now that companies are navigating the “back to the office” scenarios, will bringing pets to work take a leap forward as part of wooing employees back? This piece from Time has lots of trends, stats, and other perspective-information info.

DBE’s Go Good Spotlight is on: Women for Women International

World organizations are rushing to help the people of Afghanistan as the conflict continues to unfold. Caught in the turmoil are women whose lives are much less in their own control there than in other parts of the world. DBE was moved by their stories and made donation this week to Women for Women International, prompted in part by Chief’s support of this organization. You can help too. Learn more and if you’re moved to, please donate here.

That’s it for this week, short issue but hope it provided some good insights and tips. Enjoy the rest of the week and stay well, stay strong, stay focused!

This week I’m sharing articles I’ve found talking about returning to office spaces as well as other pieces that captured my attention.

On the “Working from home—where do we go from here?” front, there are so many opinions flying around, and some good data too. These first 3 articles may help shape your perspectives and give you some new factors to consider and you lead your team forward:

This one was shared by Jessica Perry, and it’s from the NY Times. It’s titled “Languishing” and is focused on the malaise many are experiencing in the time since the early days of the pandemic and the much-hoped-for “all clear” that medicines are working towards. But there are some super perspectives for those of you managing others (and yourself) for how to combat the languishing that hurts productivity and mental health.

This piece from The Wall Street Journal talks about the various options for what working from home may look like as offices open back up for workers. Great chart from Pew Research on the options that are most favored by employees too.

Ever heard of Nicholas Bloom? You will. He’s experiencing a bit of delayed fame. He’s a Stanford University economics professor. He conducted a study published in 2017 about working from home…and it was pretty much ignored. Now he’s a globally sought-after expert on the topic because, well, just look at us. This is a great piece on him and his research from Business Insider.

Okay, this one from The New Yorker was literally a perspective piece, but not about Covid. It’s shared anonymously by a woman whose company (employer) is about to go public, and she’s on the verge of becoming very wealthy. Why am I sharing this? Because I was fascinated by her generational commentary and, frankly, I’d love to “win” $6 million too. Here you go.

Do Good Spotlight: Doctors Without Borders

Nothing short of miracle workers, Doctors Without Borders is an independent, global movement providing medical aid where it’s needed most. We were prompted to feature—and donate to—them again by the health crises around the world. As the US begins to see real progress with our vaccines (50% of American adults have had at least their first of two shots), other parts of the world are still suffering greatly. Here’s where you can learn about Doctors Without Borders and perhaps be inspired to help them work those miracles.

I hope you enjoy the rest of your week. Please suggest not-for-profits you want us to feature in upcoming issues. Featured organizations receive donations, so if you have a charitable organization to suggest, don’t hold back! ?

We’re definitely rocking our Zoomraderie sessions, where we are all on Zoom together but continue working, so it’s not a meeting, but we try to simulate working together in a conference room. We talk while we work, we take breaks to chat casually as we would in an office. It’s helping us to feel more connected, so we got excited when we heard about Teamflow, which takes this all a lot further. Each person has an avatar and it focuses on audio rather than video. Shout out to Jess Perry for posting about this on LinkedIn. We’ll report back on our experiences in a later issue. If you decide to check it out, please let us know what you think.

Whatever you’re feeling about getting the Covid-19 vaccine are, you’re not alone. Via this article from Fast Company: “According to Pew Research in December 2020, 60% of people polled said they would likely get vaccinated, still leaving 40% of Americans to be convinced.” And “The Ad Council’s data told it that 30% of Americans definitely planned to be vaccinated, 20% were absolutely not getting it, and 50% categorized their approach as “wait and see.” This data prompted the Ad Council to create ads targeting that last group. You can read about it all here.

VC favorites for 2021. What do you think of this list? What companies do you have your eye on, and why?

Do Good Spotlight on a Fav: No Kid Hungry

We couldn’t help donating to one of our go-to not-for profits when we saw Kellogg’s Frosted Mini Wheats is matching dollar for dollar up to $100,000 in donations today. We love how committed No Kid Hungry is to taking an expansive view of its mission to keep kids fed and supported. We donated here and you can too.

Thanks for reading, and we hope you have a wonderful day!

Hi,

Well, the weather on the east coast is doing the March roller coaster thing again, but definitely seeing progress toward warmer weather, and last weekend I saw these lovelies showing themselves, not sure what they are, but they’re new, green, and have flowers, so let’s cheer them on:

<img decoding="async" class="wp-image-49226" src="https://owlthena.com/wp-content/uploads/2021/03/Picture1.jpg" sizes="(max-width: 527px) 100vw, 527px" srcset="https://owlthena.com/wp-content/uploads/2021/03/Picture1.jpg 527w, https://owlthena.com/wp-content/uploads/2021/03/Picture1-300x188.jpg 300w, https://owlthena.com/wp-content/uploads/2021/03/Picture1-400x250.jpg 400w" alt="A picture containing grass, outdoor, plant, wood

Author Yulia Yaganova suggests a three-week experiment where you rate your energy, focus and motivation at the end of every hour, using a scale of 1-10. The point is to find patterns to see if there are ways to leverage them. I thought this was interesting and am trying it this week using an Excel sheet to track the data.

Have you heard of “imposter syndrome?” I never really liked the phrase, never felt like it truly described what was really going on. This article from Harvard Business Review suggests we stop telling women how to get over imposter syndrome and address the reasons why women sometimes have difficulty getting a clear view of their successes and their context. I remember the feeling of “unclear comparables” when I worked in a F500: the unit I led was the most profitable, I was a rock star outside the company. Inside, I was constantly marginalized—as were most of my female colleagues–and my successes were “nice” instead of celebrated the way those of our male counterparts often were. I spent years thinking it was me…until the lightbulb went off and I better understood what we now call institutionalized bias. We need better frameworks so that real producers don’t even begin to question if they’re the real deal.

Are you factoring the cost of living where your remote workers live into their salaries? It was common practice before Covid, now it’s a hot topic.

Increasingly, younger workers are expecting their employers to walk the walk when it comes to diversity hiring. How does your company stack up in the eyes of Millennials and GenZ?

How much positive impact does a compliment in the workplace have? If you think it’s a little bit, you’re wrong. It’s much more.

Do Good Spotlight on: Trenton Area Soup Kitchen (TASK)

Feeding the hungry in the Trenton, NJ area is what TASK is all about. We donated this week to help them to continue deliver on their mission for people who need food in Trenton and the surrounding area. Is there a local food pantry or soup kitchen in your area that needs your support? Please consider donating non-perishable items or cash to help them help those in need. Here’s how to learn more about and help TASK.

Let’s finish the week strong, supportive, and focused!
